Closing or Archiving an Application

Because Civic Review is a database, there's not a way to delete applications out of the system, but you can inactive or archive them. Here's how:

How to Set an Application to Inactive

There are many reasons why you might need to change an application's status—it may have been denied, canceled, or simple abandoned. If you get a duplicate application submission, it's also wise to inactivate one of them. In Civic Review, an application that is no longer active is considered "Inactive/Denied."

This guide shows you how to set any application to this status, regardless of its current state.


Method 1: For Unapproved Applications

If the application has not yet been approved and needs to be denied, you can update its status during the final review.

  1. Open the application record.

  2. During the final review step, set the status to "Denied."

  3. The system will automatically send the applicant an email notification and set the application's overall status to "Inactive."



Method 2: For Approved or Active Applications

If the application has already been approved and you need to set it to inactive without denying the original approval, follow these steps.

  1. Open the application record.

  2. In the "Permit Overview" section, locate and click the "Status" button.

  3. A small dropdown menu will appear. Switch the status to "inactive".


Additional Notes

  • To View Inactive Applications: The application will now be stored in the "Inactive/Denied" section of Civic Review.

  • Add a Reason: It's a good practice to record the reason for the change in the Internal Comments section for future reference.

  • Reactivating an Application: To set the application back to active, simply follow the same steps as Method 2, but click the "Active" button instead.
