How to Add Reviewing Departments to an Application

When you create a new form, you need to make sure the right people can review the applications that are submitted. You can do this by adding reviewing departments directly in the form's settings.

NOTE: Before assigning a department to review, you'll need to create the department and have users assigned to that department. Learn how to do that in this article:

Adding Reviewing Departments

  1. Locate the Form Settings: Navigate to the specific form you want to edit.

  2. Find the Reviewing Departments Section: Within the form settings, look for the section dedicated to adding reviewing departments. This area allows you to specify which departments have access to review applications submitted through this form.

  3. Select Departments: From the list of available departments, choose the ones that should be able to review applications.

  4. Save Your Changes: Be sure to save the form settings after you've added the departments. The assigned departments will now see new applications in their review queue.

  • Tip for Renewals: If your form is for a license or permit that can be renewed, you'll see a separate section for "Renewal Reviewing Departments." You can add the same departments or a different set of departments to handle the renewal reviews. If you leave this section blank, no one will be assigned to review the renewals.

Adding Conditions:

The steps above allow you to add departments who will review ALL application submission; but often you only need to tie a department in based on specific conditions. To do this, follow the steps below.

  1. Click on the specific assigned department.

  2. Click on the blue link to add the conditions associated with this department review.

  3. Add in the specific conditions that MUST be met in order for this department reviewer to be assigned to an application. Here's a quick refresher on how to use conditions in Civic Review. You might ONLY need the City Engineer to review Commercial projects, or tie in the Parks Department to review specific types of Special Event applications. The sky's the limit!
