Civic Review forms are each customized to your unique workflow. Different fee payment windows allows for deposits, application fees, and permit fees. Currently Civic Review has 3 payment timing slots:
Payment Timing Options:
The three options for fee payment timing are Initial, After Pre-Review, and After Final Review. Here's a diagram of when (in the review process) each of those fees take place.
Check out the chart below to learn a bit more about each type of fee category and what they're often used for:
Fee Category | Timing |
Initial | Initial fees are paid right after the application is submitted. The applicant will immediately see a link that will take them to their payment portal to pay these fees. This is great for deposits or non-refundable application fees to cover staff review costs. |
Pre-Review | These fees come due after the pre-review is marked as complete and before the application is sent out to department reviewers. The applicant will get an email with a link to the payment portal. Department reviewers will be tied in immediately after the fees are paid. |
Final Approval | Applicants pay these fees after final approval is given on their application. The applicant will get an email with a link to their payment portal. Fee's MUST be paid before the application is considered complete. |
NOTE: Currently in Civic Review each application can have automatic fee at the Initial and EITHER Pre-Review or Final Review period. You can't have fees due at all three.
Fee Timing Configuration:
Fee timing configuration starts in the permit type settings page. Here you'll select if you'd like the fees due after Pre-Review or after Final Review (remember, you can't have both).
Once you've made your fee timing selection on that page then you'll go to the fee builder to add in Initial and Application fees.
Any fees added within the Initial fee area will automatically be charged during the initial fee timing period. Any fees added within the Application fee area will be charged according to you setting selection above.
