How to Manage and Complete Inspections

Jump in to learn how to schedule, complete, and reinspect all within the Civic Review Inspection App.

Whether you’re at your desk scheduling next week's inspections or on an iPad standing at a job site, the Inspection App is designed to be quick, painless, and transparent.

Here is how to manage an inspection from start to finish.

1. Find Your Project

The fastest way to get where you’re going is the Search Bar at the top of your screen.

  • Search by Address: Just type in the street name (like "Test") and select the correct application from the results.

  • Verify Readiness: Before scheduling, a quick glance will tell you if the permit is approved and fees are paid. If everything looks good, you’re ready to roll.

2. Schedule the Inspection

When a contractor calls or emails to get on the books, head to the Inspection Box on their application page.

  • Add Inspection: Click to add a new scheduled inspection.

  • Set the Details: Pick the date and time, then select the inspection type and inspector.

  • Keep the Applicant in the Loop: The applicant will automatically receive a confirmation email and can put a reminder on their calendar.

ALTERNATIVELY: You can also configure your system so that applicant's can request inspections from their own applicant portal. Check out this help article to see how to set that up.

3. Perform and Record Results

Take a look at your daily schedule before you leave the office and then simply click on the inspection in the field to complete it.

  1. First, list each item that you're inspecting and mark each as pass/fail. You can also include individual pictures with each item.

  2. If you have any general notes you can include those as well.

  3. Once you're done you can mark the whole inspection as either pass or fail. If there's an item that failed, mark the whole inspection as Fail and it will prompt you to reinspect that item the next time they schedule an inspection.

4. Send Inspection Report:

Once you mark the inspection as Pass or Fail the system will automatically prompt you to send the applicant an autogenerated inspection report.

Here's a help article that walks through exactly how to send those.

Why It Matters

Using this workflow keeps the entire history of the project in one place. You aren't just checking boxes; you’re building a clear, searchable record of every visit and every re-inspection.
