Emails in Civic Review

Your guide to viewing what emails have been sent to an applicant and how to manually send them an email.

Civic Review sends a variety of automatic notification emails to applicants for to let them know about final approvals, fee payments, and renewal reminders.

This article addresses common communication questions and provides a solution for manually communicating with an applicant when you need to send an additional email.

Can I manually re-send an email?

Civic Review does not have a feature to manually re-send a previously sent automatic email. However, you can use the Messages section to communicate with the applicant or provide them with a link to their portal.

  • How it works: When you send a message through this section, the applicant receives an email notification. This email alerts them that a new message is waiting for them in their Civic Review portal.

  • Magic Link: The notification email includes a "magic link" that allows the applicant to go directly to the message in their portal without needing to log in. They'll be able to view all documents and the payment portal if it's waiting in their portal.

How to Check the Email Log

Civic Review maintains a log of all emails sent to an applicant. This can be a useful tool if an applicant claims they did not receive a specific email.

  1. Navigate to the email log within the application.

  2. The log will display a list of all emails sent to the applicant, including the dates and timestamps.

Troubleshooting Email Delivery

If you are concerned that applicants are not receiving emails, we recommend the following:

  • Verify the email address: Double-check that the email address on file for the applicant is correct.

  • Follow up with a phone call: If necessary, contact the applicant directly via phone to ensure they have the information they need.
