Setting Up Automatic Late Fees

Did you know you can set up late fees to apply automatically? With a little bit of upfront work, you can customize the fee amount and when it's applied, so you never have to add a late fee manually again.

Step-by-Step Guide

1. Set the Fee Due Date First, you need to determine when renewal fees are due.

  • Navigate to the "Permit Type settings" within your form.

  • Find the question asking when fees are due.

  • If the number is set to "0," fees are due on the first day of the new term. Late fees will be applied to anyone who has not paid by this date.

2. Open the Fees Section

  • Still in the "Permit Type settings," find and click on the "Fees" section.

3. Navigate to Renewal Late Fees

  • Click on the classification (it may say General) to open it.

  • Then, click on "Renewal Late Fees."

4. Add a New Late Fee

  • Click the "Add renewal late fee" button in the top-right corner of the page.

5. Fill in the Fee Details

Fee Name: Give your late fee a clear name (e.g., "Late Fee 1").

Amount: Enter the amount of the fee. For a $25 fee, enter "25." For a 25% fee, also enter "25."

Type: Select whether the fee is a "flat value" (a fixed amount like $25) or a "percentage" (like 25% of the total).

Days After Due Date: This is the most important part. Enter the number of days after the fee due date that this late fee should be applied. For example, if the first late fee should apply 30 days after the due date, enter "30."

6. Save the Fee Once you have entered all the information, click "Save." If you have multiple late fees (e.g., one at 30 days and another at 60 days), simply repeat this process for each one.

From now on, these late fees will automatically be applied to renewals. Remember, you can always waive late fees for a specific applicant if needed.
